Payment Policy

How subscriptions to HereIQ are priced, billed, collected and cancelled

This covers what your organisation pays CatalystGen for HereIQ. It does not cover paying your own staff through the platform — that feature is not built yet, and will have its own policy when it is.

1What this covers

This policy explains how CatalystGen charges organisations for HereIQ: what the plans cost, how billing works, what happens when a payment fails, and how to cancel. It sits alongside our Terms of Service, which contain the binding commitments; where the two conflict, the Terms take precedence.

It does not cover Payout — paying your employees' salaries through the platform. That is not available yet. When it is, it will have its own policy, because moving somebody else's money is a different undertaking from charging for software.

2Plans and prices

HereIQ is priced per user, per month. There are three price lists — one for The Gambia, one in euros for Europe and the UK, and one in US dollars for everywhere else. All three are published here in full. The pricing page shows whichever applies to you; this page shows all of them, so nothing is hidden.

The plans are identical on every list. Same features, same support, same platform. Only the number differs.

2.1 US dollars — Africa, the United States, and rest of world

Free
No charge, up to 10 people.
Basic — $8 per user, per month
From a minimum of 15 users, so $120 per month at the floor.
Pro — $16 per user, per month
From a minimum of 20 users, so $320 per month at the floor.
Enterprise — $24 per user, per month
From a minimum of 40 users, so $960 per month at the floor.

2.2 Euros — Europe and the United Kingdom

Free
No charge, up to 10 people.
Basic — €8 per user, per month
From a minimum of 15 users, so €120 per month at the floor.
Pro — €16 per user, per month
From a minimum of 20 users, so €320 per month at the floor.
Enterprise — €24 per user, per month
From a minimum of 40 users, so €960 per month at the floor.

Organisations in the United Kingdom are billed in euros. We price the same figure in each currency rather than converting daily, so a price does not move because an exchange rate did.

2.3 Gambian Dalasi — The Gambia

HereIQ was built in The Gambia and is priced for the Gambian market there.

Basic — D65 per user, per month
From a minimum of 15 users, so D975 per month at the floor.
Pro — D120 per user, per month
From a minimum of 20 users, so D2,400 per month at the floor.
Enterprise — D170 per user, per month
From a minimum of 40 users, so D6,800 per month at the floor.

2.4 Which list applies to you

The region selector on our pricing page changes the prices you see. It does not change the prices you qualify for, and it is not a discount code.

  • Gambian pricing is for organisations registered in The Gambia that pay by a local method — mobile money, local bank transfer, or cash. Both conditions apply: where you are registered, and how you pay.
  • Euro pricing is for organisations registered in Europe or the United Kingdom.
  • Everyone else is billed in US dollars.

If an organisation is billed on a list it does not qualify for, we move it to the correct one with 30 days' notice — the same notice any price change gets. We will not backdate a correction or invoice you for the difference.

We price by market because a price that is fair in Banjul is not the same number that is fair in Berlin. Gambian income per head is roughly a hundredth of American income per head; the price difference is about a tenth. That is the reasoning, written down, so you do not have to guess at it.

2.5 Seat minimums

Paid plans have a minimum number of billed users, and the minimums are the same on every list. If your team is smaller than the minimum, you are charged for the minimum. We would rather you read that here than discover it on an invoice.

A user is anyone with an account in your organisation, including offline members added for staff without email. Archived people are not billed.

3The free trial

Every organisation starts with a 14-day trial of the full product. No card is required to begin, and there is nothing to cancel if you decide against it — the trial simply ends.

During the trial you have access to everything, with no user limit, so you are evaluating the product you would actually buy rather than a reduced version of it.

When the trial ends, you choose a plan. If you choose nothing, the account moves to the Free plan where it fits within the limits, or is suspended where it does not. Nothing is deleted at that point — section 7 explains what happens to data.

4How you subscribe, and how you pay

4.1 Starting a subscription

Anyone, anywhere, can create an organisation and start the free trial without talking to us and without a card. What happens at the end of the trial depends on where you are.

In The Gambia — self-service
Choose a plan and pay inside the platform. Nothing needs a conversation, and your subscription starts immediately.
Everywhere else — we set it up with you
Contact us and we will quote you, agree the plan and seats, take payment, and set the subscription up on your account. Plan changes are handled the same way.

We would rather tell you that plainly than put a checkout in front of you that would decline your card. It also means an international subscription is agreed with a person before any money moves, which most finance departments prefer.

4.2 Ways to pay

Four, and which are open to you depends mostly on where you are:

Mobile money
For organisations in The Gambia. Paid through our payment provider's secure checkout.
Credit or debit card
Available internationally, through the same secure checkout. The usual route for organisations outside The Gambia.
Bank transfer
Against an invoice, on terms agreed in writing before the subscription starts. Suits organisations with a finance department and a purchase-order process.
Cash
Accepted in person for organisations in The Gambia, receipted and recorded against your account the same day.

CatalystGen never sees or stores your card or wallet details. They are entered on our payment provider's own checkout and never reach our systems.

4.3 Paying in cash

Cash is a normal way to pay for software in the markets we started in, and refusing it would be a European habit rather than a security measure. Two rules make it safe for both of us:

  • Always take a receipt. Every cash payment is receipted and recorded against your account with a payment reference, exactly like any other method.
  • Only pay through channels we have confirmed to you in writing. If anybody asks you for a cash payment through a channel we have not confirmed, do not pay it — contact us first.

If a cash payment is not showing on your account within one working day, tell us and bring the receipt reference. That is what it is for.

4.4 Currency and taxes

You are quoted and billed in the currency of the list that applies to you — Dalasi, euros or US dollars. Organisations that need a different currency are quoted before the subscription starts, and the quoted amount is what appears on the invoice.

Published prices exclude any tax, duty or withholding. Where your jurisdiction requires tax to be added or withheld, that is your organisation's responsibility unless a signed agreement says otherwise.

5Billing and receipts

  • Subscriptions are billed monthly in advance, unless a signed agreement sets a different cycle.
  • Every successful payment produces a receipt, sent by email to the organisation's billing contact and recorded against the account.
  • Every payment carries a unique reference. If you contact us about a charge, that reference is the fastest way to find it.
  • We use idempotency controls on every transaction, so a retried or duplicated request does not become a second charge. If you have been charged twice, that is a fault and we will refund it — see section 8.
  • Adding people mid-cycle changes what you are billed from the next cycle, not retroactively.

6If a payment fails

Payments fail for ordinary reasons — an expired card, an empty wallet, a bank holding a transfer. We do not treat a failed payment as a decision to leave.

  2. 2A 14-day grace period beginsThe service keeps working in full. Nothing is limited, nothing is hidden, and your people carry on checking in.
  3. 3We retry, and you can pay any timePaying at any point during the grace period ends it immediately, with no penalty and no reactivation fee.
  4. 4SuspensionIf the grace period passes unpaid, the account is suspended. Suspension stops access — it does not delete anything.

We do not charge late fees or reactivation fees. Settling the outstanding amount restores access.

7What happens to your data

This is the question organisations actually worry about, so it gets its own section.

  • During a grace period, nothing changes. Your data is intact and fully accessible.
  • During suspension, your data is retained. It is not deleted, not anonymised and not handed to anyone. You cannot reach it until the account is restored.
  • Paying restores access to everything, exactly as it was.
  • If you close the account, export what you need first. Attendance, payroll, contract and leave data export as Excel, CSV or PDF at any time, for all staff or one person, over any date range.
  • After closure, data is handled as described in our Privacy Policy, subject to anything the law requires us to keep.

We do not hold your data hostage over an unpaid invoice. If you are leaving and need an export, ask us and we will make sure you can take it, whatever the state of the account.

8Refunds

Fees are generally non-refundable. The 14-day free trial exists so you can decide whether HereIQ suits you before paying anything, and it is a better protection than a refund window because you keep your money in the first place.

We will consider a refund where there has been a documented service failure that was our fault, and we will refund a duplicate or incorrect charge without argument.

How to ask

  • Email us with the payment reference and what went wrong.
  • We respond within five working days with a decision and the reasoning.
  • Approved refunds are returned by the method you paid with, where the provider allows it, within a further ten working days.
  • If we decline, we say why. You can escalate it, and a person will look at it again.

9Changing plan, and cancelling

  • In The Gambia, you can change plan inside the platform. Everywhere else, tell us what you need and we will make the change on your account — usually the same working day.
  • You can move up a plan at any time. The new plan applies immediately and the change is reflected in the next billing cycle.
  • You can move down a plan or cancel at any time. It takes effect at the end of the cycle you have already paid for — you keep what you paid for.
  • We do not refund the unused part of a cycle on cancellation, and we do not require notice periods or exit fees.
  • Cancelling is done by contacting us. We will confirm it in writing, and tell you the date access ends so you can export before it does.

10If we change prices

We may change prices. When we do, we give organisation administrators at least 30 days' written notice before the new price applies.

A price change never applies to a period you have already paid for. If a new price does not work for you, you can cancel before it takes effect, and section 9 applies as normal.

For invoices, receipts, payment references, refunds or anything else on this page:

If you are querying a specific charge, include the payment reference from your receipt. It is the fastest route to an answer.

Billing should be the least surprising part of a working relationship. If an invoice does not match what you expected, tell us before you pay it and we will explain it or correct it.
